ROLE TITLE: Secretary

RESPONSIBLE TO: The Club Committee

ROLE PURPOSE:

  1. To act as a first point of call for those looking to join or seeking information about the club.
  2. Act as principal administrative officer for the club.

MAIN DUTIES:

  1. To ensure club affiliation
  2. To deal promptly with all correspondence on the club’s behalf.
  3. To liaise with the Chairman to arrange meetings
  4. To prepare the agenda in partnership with the Chairman and make sure it is circulated in good time before a meeting. All Committee members should be asked if they have any items for the agenda.
  5. To take minutes of Committee meetings and make sure that they are circulated well in advance of any future meeting.
  6. To circulate any relevant information from ECB and CCB to members
  7. To liaise with the membership secretary so that an up-to-date e-mail distribution list can be maintained.
  8. In conjunction with the Committee ensure all members are informed of events and decisions as necessary.
  9. To co-ordinate all preparations for the AGM in conjunction with the Chairperson and Treasurer ensuring this is in line with the constitution.
